DOCUMENTS THAT ARE EASY TO UNDERSTAND

 

A good document is one that communicates accurately to the reader the writer's meaning and intention, while at the same time, is easy to read and understand. In addition to a clear objective, the following points are important to writing friendly and easily read documents.

 

1 Basic Concepts of Writing

 

(1) Writing style

・Have a clear theme and objective.(Clarity)

・Use the correct grammar and keep sentences logical.(Correctness)

・Summarize key points by 5W1H and avoid unnecessary words.(Conciseness)

・Keep it well structured by use of bullet points, etc.(Readability)

 

(2) Sentence structure

・Keep sentences short.

・Avoid expressions which can have more than one interpretation.

・Make the subject and object clear.

・Pay attention to the connection between words.

・Pay attention to punctuation.

 

(3) Language

・Use simple and easy language(avoid technical & legal terminology as far as possible).

・Keep the language specific.

・Sources for figures and legal references should be made clear(legal references should not be quoted in the original legal language).

・Use an appropriate level of language for the targeted readers.

・Avoid over-generalizing with abstract language.
