(4) Foresee problems that might arise in the future and prepare measures as to how to prevent these from happening;

: Clarify inherent conditions and restrictions in the means and the measures,

: Decide how to respond if the given situation changes,

: Prepare alternative plans.

(5) Get the approval of all the parties concerned;

: Explain the plan to a senior official and obtain their approval,

: Get the approval of lower ranking officials,

: Ensure that every member of staff in all the relevant sections fully understands the plan.

 

3 Job Assignment

 

The various activities involved in implementing a plan must be assigned to appropriate members of staff. The following process should be taken in allocating these jobs.

(1) Clarify what jobs are essential to accomplishing the task;

: List up every job necessary to implement the plan,

: Classify the jobs by type and level of difficulty,

: Analyze the competency required to attain the quality and fulfill the quantity required from the jobs.

(2) Look at the ability, aptitude and expectations of immediate staff.

(3) Consider the jobs that these members of staff are doing now;

: the quality and quantity of their work,

: their targets and deadlines,

: present progress,

: problems they might have and how serious they might be.

(4) Assign a job to each member of staff, taking into consideration the training and motivating of each,

: Make a job assignment list to check that there are no duplications or omissions,

: Clearly explain what they must set out to accomplish and provide all the authority and assistance they require.

 

4 Coordination

 

Work may not be carried out as expected even if the supervisor has drafted the plan carefully and provided all the necessary information required. Problem after problem may occur. Unless appropriate measures are taken immediately, the situation will get steadily worse and escalate out of control. It is essential to take corrective measures before the problem becomes too serious.
