2-7 Communication

 

Communication is a process whereby a person conveys certain information to a recipient through mediums such as speech, writing, gestures and graphs. The recipient understands the information and, if necessary, sends back their response. For good communication, the person has to find a way of how to convey their message accurately and the recipient must make every effort to decipher the information and intention the other person has tried to convey.

The role of communication in an organization is similar to that of the nervous system in the human body. If there are problems in communication, the operations of the overall organization will not run smoothly. Communication in an organization is conducted by various means including instruction, reporting, meeting and information exchange. Good communication is a key factor to effective and efficient public administration.

2-8 Instructions to Employees

 

Good plans and appropriate assignments do not necessarily guarantee the accomplishment of work unless employees perform their duties properly. It is therefore important that supervisors give their employees proper instructions for their job. Orders are not just a way of conveying information to employees but are accompanied by a degree of enforcement power. Enforcement power does not, however, ensure the accurate performance of work. Supervisors must understand how to give appropriate instructions.
