8 Drop-in box for committee members
Note: For a description of the default folder structure, please refer to the ANNEX 1 Default folder structure for ISO/TCs, SCs and Working Groups.
You can post any electronic documents which you may wish to submit to the Secretariat of a committee for which you are registered as a member directly on the site of this committee. For this purpose, please use the folder Drop-in box for committee members.
To place a document in the drop-in box, please proceed as follows:
- Open the folder Drop-in box for committee members
- Click on "Add New Item..." in the upper right corner of the screen, which will open a list of available options.
- Choose from this list the option "Document".
- An entry form opens
- You can enter the name of the document
- You can add a description of the document (optional)
- Under the entry "File", please click on "Browse" and move to the location in your system where the file is located which you want to load
- Finally click on "Add Item" and the document will be loaded into the drop-in box.
The ISOTC server is configured in a way that the secretariat of your committee will be notified automatically via e-mail of any new documents which have been placed into the drop-in box. However, please check with your committee secretary whether this functionality has been activated for the particular committee.
IMPORTANT: At this point in time files loaded to the drop-in box are also accessible to other members of the committee.
9 Generate files in PDF-format on the ISOTC server
You may know that the PDF-format (PDF stands for Portable Document Format) is increasingly used, because it allows to preserve the layout and the fonts of a file in the original wordprocessor format and can be used on basically all types of computer platforms. This provides the possibility to distribute files widely in their original presentation.
There are two options for the generation of PDF-files on the ISOTC server: One for non-standard documents (e.g. minutes, resolutions, comments, notes etc) and the second for drafts of standards. The reason to separate the two is that there are higher quality requirements for drafts of standards than for other types of documents. In bath cases you need a Word- or a Postscript-File as the input-file to generate the PDF-File.
To generate a PDF-File for non-standard documents, proceed as follows:
In the top-level folder with the name "ISOTC home" in the upper horizontal bar, where the list of ISO/TCs is located you find a folder with the name "Test drop box for the generation of PDF-Files". Click on the name of the folder and then on the folder "Conversion of non-standard documents" and you see a folder with the designation "IN - put your MS-Word or PostScript file here". Click on the folder name, which moves you inside this folder. When you are inside the folder, store the Word- or the PostScript-File in this folder (follow the steps described under "How to submit a document to the secretariat of ISO/TC " above, which describes how to load a file to the ISOTC server).
