(2) The following points should be noted when reprimanding an employee.
・The right place
Do not reprimand an employee in public. It would only inflict shame and invite antagonism. Reprimands should be given only in private.
・A humble attitude
When reprimanding a member of staff, bear in mind that you are also partly responsible for their mistake, and adopt a humble attitude.
・Do not demoralize
Nasty reprimands only serve to destroy the confidence of staff. They will start to doubt their suitability for the job and their own competence. In any case, the purpose of the reprimand is to let the employee realize the error and be prompted to "do a better job the next time."
・Base a reprimand on concrete facts
Staff will put up resistance if they do not know why they are being reprimanded. It is important to base a reprimand on concrete facts and never attack the personality or values of employees.
・Conclude with encouragement
Do not simply reprimand staff and leave it at that. It is important to follow it up with encouragement. You should communicate your expectations, build their confidence and motivate them to improve themselves and their work. The reprimand may otherwise achieve nothing but weaken their sense of motivation.
