2 Instructions Must Motivate Employees

 

If staff have no motivation to do the work, the job may not never be completed or they might make a lot of mistakes. When giving instructions to staff, it is extremely important to motivate them to work actively to achieve the goal.

There are various ways to instruct staff to do something and each provides a different degree of motivation.

・Instruction "Find a solution to this problem Take the following points into consideration."

・Request "Can you try to find a solution to this problem ? It would be helpful if you take the following points into consideration."

・Consultation "I think that the following points need to be considered if we are to find a solution to this trouble. What do you think ?"

・Suggestion "Perhaps the following points should be considered if we are to find a solution to this problem."

・Invitation "Would anyone like to volunteer to look for a solution to this problem ?"

From among the above, the instruction is the most compulsory but it provides the least possibility of motivating staff. The invitation is the least compulsory but it provides the highest possibility of motivating staff.

 

3 Instructions Must be Feasible

 

Even if staff understand the instruction correctly and they are fully motivated to follow it through, the instruction may not necessarily be carried out exactly as requested. When specialist knowledge or techniques are required to do the work, for example, and staff do not possess enough competence in this field or the office equipment required to perform the task is unavailable, the instruction may never be accomplished. Instructions that are unfeasible will only have the effect of discouraging staff and destroying their motivation and confidence in the long term. You must carefully consider the feasibility of instructions before giving them to your staff.
