Instruction for Oral Session Chairpersons

 

1.Chairpersons should arrive at their designated session room at least 15 minutes prior to the scheduled starting time, confirm the presence of all presenting authors, and provide necessary instructions on session conduct.

 

2.Chairpersons should introduce the name of the presenting author, his or her affiliation, country, and the title of the paper.

 

3.The time allotted for each oral presentation is 10 minutes followed by 5 minutes of discussion. (Keynote speeches will be for 15 minutes without discussion.) Chairpersons should make every effort to maintain the session's time schedule in cooperation with the time keeper, and give warnings, as needed, to the speakers.

 

6.Time will be indicated by green and red lamps to be operated as follows:

a.Green: 1 minute left in the presentation.

b.Red: Time is over. Stop presentation immediately.

 

7.The official language of the congress is English. Simultaneous interpretation will not be provided.

 

8.Chairpersons should try to stimulate discussions from the floor, and participate themselves, as needed, in asking speakers questions.

 

9.In case a presenting author is absent, the time assigned to his or her presentation may be reassigned to other presentations in the session.

 

10.Substitute presentation of a paper for which the original presenting author is absent will be permitted. Please have the substitute person introduce himself or herself.

Instructions for Keynote Speaker

 

1.You are serving as the keynote speaker as well as chairperson of the oral free paper presentation session.

 

2.In addition to the duty as the chairperson you are requested to make a 15-minute keynote speech at the beginning of the session, and are also expected to lead actively the discussion after each paper.

 

3.The keynote speech should contain a brief state of the art review of the field of the theme of the session with some reference to the papers to be presented later. In other word it should place individual papers within the wider frame of reference and thus help the audience to understand them better and stimulate discussion.

 

4.Abstract is not necessary for keynote speech.

 

5.You may use slide projector (single projection only), but no overhead or video projectors. When you use slides, you must adhere to the following instructions.

1)Please use 35 x 35mm slides in metal or plastic mounts.

2)All slides should bear a serial number in the upper right corner of the frame.

3)Please hand in your slides to the slide reception in front of the room of the session not later than 30 minutes prior to the beginning of the session.

4)Do not forget to collect the slides from the slide reception at the end of the session.
